HIVE Estate Agency Systems (“HIVE”, “we”, “us”) is a company registered in England and Wales, company number 07963403, registered office 1 The Links, Herne Bay, Kent CT6 7GQ. For the personal information described on this page, we are the data controller.

What we collect, and why

When you send us an enquiry

Your name, your agency, your work email, your phone number if you give it, and whatever you tell us in the message. We use it to reply, to arrange a demo if you asked for one, and to follow up on that conversation. Our lawful basis is legitimate interests — you contacted us and expect a response.

When we prepare a proposal or you complete a brief

The contact details of the people at your agency we are dealing with, and the information you give us about your business and what you need. We use it to prepare and send the proposal and, if you go ahead, to deliver the work. Our lawful basis is taking steps at your request before entering into a contract, and then performing that contract.

When you are a client

Contact and billing details for the people we work with, and the records of what we have done for you. Our lawful basis is performing our contract with you and meeting our legal obligations, including tax and accounting records.

Keeping in touch

We may occasionally email existing clients, and people who have enquired, about our services. Every such email has a way to opt out, and you can ask us to stop at any time.

When we handle data for an agent

We build websites and provide software for estate and letting agents. Where personal information about an agent’s own customers passes through a website or system we provide — a property enquiry, a valuation request, an applicant registration — the agent is the controller and we process it on their instructions. If that is how we came to hold your information, the agent’s own privacy policy applies, and they are the right people to contact first.

Who we share it with

We do not sell personal information. We share it only with the suppliers we need to run the business, who act on our instructions:

Amazon Web Services — website hosting and storage. United Kingdom.
Brevo — sending email, including notifications of your enquiry. European Union.
Cloudflare — Turnstile, which checks that a form is being filled in by a person and not a bot. It does not set advertising or tracking cookies.
Google — the map on our contact page, which Google serves directly to your browser.

We also share information with our professional advisers, and with regulators or law enforcement where the law requires it.

Where a supplier handles information outside the UK, the transfer is covered by UK adequacy regulations or the appropriate UK data transfer safeguards.

Cookies

This website does not use analytics, advertising or tracking cookies. The only third-party content is the Google map on the contact page and Cloudflare’s form check, described above. If that changes, this page will change with it.

How long we keep it

Enquiries that do not lead anywhere — two years from our last contact.
Client and contract records — six years from the end of the contract.
Opt-outs — for as long as we need to make sure we respect them.

Your rights

You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, restrict how we use it, or stop using it. Where we rely on legitimate interests you can object. Some rights are qualified — we cannot delete records the law requires us to keep.

To use any of them, email info@hiveeas.co.uk. We will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first, so we have the chance to put it right.
